Conference Terms & Policies

1. Payments

All registrations must be paid in full to confirm participation in the conference. Upon receipt of payment, a confirmation email along with a paid invoice will be sent to the registered email address.

2. Access Requirements

Registrants should notify the organisers of any special access requirements at the time of registration to ensure a smooth virtual experience.

3. Registration Information

Access details and participation instructions for the virtual conference will be sent by email at least seven (7) days prior to the event.

Any participant who does not receive this information should contact us at [email protected].

4. Programme Changes, Cancellation or Postponement

• KLM Dental reserves the right to make changes to the conference programme, speakers, schedule, or delivery format.
• In the unlikely event that the conference is cancelled by KLM Dental, a full refund of the registration fee will be issued. Liability will be limited to the amount paid.
• If the conference is postponed or rescheduled, registrations will automatically be transferred to the new dates. No additional compensation will be payable.
• If the event proceeds on revised dates, the original registration will remain valid and subject to these Terms and Conditions.

Note: No refunds will be issued for circumstances beyond the organisers’ control, including but not limited to technical issues on the participant’s side, internet connectivity problems, health issues, or other unforeseen circumstances.

5. Speakers

The views and opinions expressed by speakers are their own. KLM Dental accepts no responsibility or liability for advice, statements, or opinions expressed during the conference or in any supporting materials.

6. Recording, Photography & Use of Content

Conference sessions may be recorded for educational and promotional purposes. By registering, participants consent to the recording of sessions they attend.

Participants who do not wish their name or image to appear in recorded materials should notify the organisers in advance at [email protected].

7. Data Protection

By registering for the conference, participants consent to KLM Dental contacting them regarding conference-related information and relevant services.

Participants who do not wish to receive marketing communications may opt out by emailing [email protected].

An attendee list may be shared with sponsors and fellow participants strictly for networking purposes. Participants may opt out of inclusion in this list at the time of registration.

8. Liability

KLM Dental shall not be liable for any loss, damage, or disruption arising from the use of the virtual platform, technical failures beyond its reasonable control, or the participant’s inability to access the conference.

9. Speakers Terms & Conditions

• KLM Dental may use the speaker’s name, biography, and presentation details for conference promotion.
• Presentation materials submitted by speakers will not be returned unless specifically requested.
• Presentations must be educational in nature and free from direct advertising or commercial promotion.
• KLM Dental may record speaker sessions and reproduce recordings for conference-related educational use.
• Presentation materials may be shared electronically with registered participants.
• Speakers who do not agree with these terms must notify the organisers at [email protected] before the conference begins.
